Expo accommodation planning

When to Book Bakirkoy Accommodation for an Expo at IFM

The easiest way to handle accommodation for expo season is to start arranging it the moment the dates of your event are confirmed. During big expo weeks, demand around the Istanbul Expo Center (IFM) and in nearby districts can rise; when you call early, your chances of choosing the apartment type and the check-in and check-out days that suit your team go up.

Events and their dates can change, so the most current information is on IFM's events calendar and in the organiser's announcement for the fair you are attending. Check those first, then follow the order below.

What early planning gives you

  • Choice of apartment type: a Two-bedroom apartment (2+1) for a team of 4–5, a One-bedroom apartment (1+1) for a small team, a Studio apartment (1+0) for someone travelling alone — you can pick the layout that fits your team.
  • The right number of nights: you count the set-up, show and dismantling days from the start.
  • Clear terms: you receive the price, cancellation and change terms in writing without rushing.
  • A travel plan: which route you take each morning becomes clear together with where you are staying.

The planning order, step by step

  1. Confirm the dates. Check IFM's current events calendar and the organiser's exhibitor information. If there are set-up and dismantling days, note them down.
  2. Decide how you are taking part. Are you a visitor, stand staff or part of the set-up crew? The length of stay follows from that.
  3. Work out the number of people and the apartment split. Deciding up front who shares with whom reduces changes later. For details, see our expo team apartment layout article.
  4. Call or write on WhatsApp. Just send your dates and the number of guests; we tell you the current price and availability straight away in the conversation.
  5. Keep the written confirmation. The reservation is confirmed by written message, and the cancellation and change terms are also sent to you in writing at the same time.
  6. Ask about corporate payment or paperwork. If you need to pay in your company's name or need a document, mention it when you book; sorting it out at the start makes things easier.

Timeline

WhenWhat to do
Once the expo dates are confirmedConfirm the dates and have the first booking conversation
Once the attendee list is finalSend the apartment split and the names
The week before the expoConfirm arrival times, late check-ins and any changes
Arrival dayCheck in with your passport (Turkish citizens can use their ID card)

If the dates may change, say so in the first conversation; you will then get the cancellation and change terms in writing accordingly.

What is in the budget?

The total cost of expo accommodation is not just the nightly rate. When planning, think about these items separately:

  • Accommodation: apartment type and number of nights. We tell you the current price straight away by phone or on WhatsApp.
  • Daily transport: an Istanbulkart for the Marmaray or M1A, and a taxi on days when you are carrying materials.
  • Food and drink: every apartment has a kitchen, so you can make breakfast and a light dinner yourselves and use the places nearby when you want to eat out.
  • Expo costs: registration, entry and stand costs depend on the organiser's terms.

Payment can be made in cash, by bank transfer or by credit card on site; you do not need to share your card details online.

What to have ready for the first conversation

Whether you call or message on WhatsApp for the first time, having the following ready keeps the conversation short and clear:

  • Check-in and check-out dates, including set-up and dismantling days
  • Number of guests and who shares with whom
  • The apartment type you prefer: Studio apartment (1+0), One-bedroom apartment (1+1) or Two-bedroom apartment (2+1)
  • Whether anyone will arrive late at night
  • Any need for early check-in or late check-out
  • Payment method, and any need for corporate payment or paperwork

In return you learn the current price, availability and the cancellation and change terms. Because the terms are sent in writing, someone else on the team can take over the process easily.

If the dates come together late

If you decide at the last minute, call anyway; we tell you availability straight away. Flexibility can help: moving the check-in day forward by one day or spreading the team across different apartment types sometimes solves it. Check-in is from 14:00 and check-out is until 11:00. Early check-in and late check-out depend on availability and must be asked about in advance.

A short checklist

  • Has IFM's current events calendar been checked?
  • Have the set-up and dismantling days been taken into account?
  • Are the guest list and the apartment split ready?
  • Does the person in charge hold the written confirmation and terms?

If you are ready, look through the apartment options, ask about your dates on 0532 655 43 32, or follow the steps on the booking page.

Common questions

How is my reservation confirmed?

Once the price and availability have been discussed on the phone or on WhatsApp, the reservation is confirmed by written message. The cancellation and change terms are also sent to you in writing at the same time.
