Expo Setup and Dismantling Days: Where to Stay in Bakirkoy

  • Updated:
  • 4 min read

Treat accommodation during setup and dismantling days as a separate period from the fair itself: the build crew usually arrives before the show, comes back late, and leaves once the stand is down on the final day. So count your nights from the first setup day to the day dismantling ends, and mention late arrivals and your departure day when you book.

Setup and dismantling days, hours and site access rules vary from fair to fair. Check them in the organizer's exhibitor manual and in IFM's current announcements, then adapt the plan below to that information.

Setup, show and dismantling: three different needs

Count your nights correctly

Setup crews and stand staff usually stay for different lengths of time. The technical team, for example, may stay from the first setup day to the last dismantling day, while the sales team only comes for the show days. List these groups separately:

  1. Arrival and departure dates for the setup crew
  2. Arrival and departure dates for stand staff
  3. Managers or guests coming and going in between

That way nobody pays for a night they do not need and no night is left missing.

Late arrivals and night-time returns

Setup work can run long. Arriving late at night is planned by letting us know in advance; tell us by phone or WhatsApp before you set off or when the job runs over. Our line is open 24/7. Check-in is normally from 14:00; if you arrive early in the morning and want to go straight into the apartment, early check-in depends on availability and must be asked about in advance.

Which apartment suits a setup crew?

  • Two-bedroom apartment (2+1), 4–5 people: keeps the setup crew in one apartment; two bedrooms and a living room give separate space to people sleeping at different hours.
  • One-bedroom apartment (1+1), 2–3 people: for two or three technicians on the same shift; a separate bedroom and living room.
  • Studio apartment (1+0), 1–2 people: for the team lead or a technical specialist coming for a short stretch.

Every apartment has a kitchen, air conditioning, free Wi-Fi and 24/7 hot water; when you get back late you can cook for yourself and you do not have to watch the clock for a shower after a long setup day. The building has a lift and security cameras, so carrying bags and a suitcase upstairs at night is easy. Details of the apartment types are on the apartments page.

Dismantling day and checkout time

The dismantling slot is written in the organizer's manual. Our checkout is at 11:00, so work out from the start when dismantling is likely to finish:

  • Stay one more night: if dismantling runs late, you rest and set off the next day. On long drives home this is usually the more comfortable option.
  • Ask for a late checkout: subject to availability and must be asked in advance.
  • Check out in the morning and go to the venue: plan on taking your belongings with you.

Vehicles, equipment and ID

  • Vehicle: if the team is driving in, look into parking options in the surrounding area beforehand. Vehicle access and parking rules at the venue belong to the organizer.
  • Equipment: plan stand materials and tools according to the organizer's site rules; arriving at the apartment with your personal belongings and work bag is enough.
  • ID: every team member needs a passport or a Turkish ID card (T.C. kimlik kartı) at check-in. If you have subcontractors or technical staff coming from abroad, remind them in advance.

Getting to the venue

To travel independently of the morning traffic, Marmaray to Yeşilköy is practical; on days when equipment is being moved, a taxi or car is easier, and the drive takes about 15–25 minutes. Step-by-step route in Getting from Bakırköy to IFM. For splitting up the team, see the fair team room plan.

Setup week checklist

  • Do you have the organizer's setup and dismantling hours?
  • Is every team member's arrival and departure date on the list?
  • Have the people arriving late at night been reported in advance?
  • Have you discussed an extra night or a late checkout for dismantling day?
  • Does everyone have their ID card or passport with them?
  • Have the drivers planned where to park?

If you can answer yes to all of these, the accommodation side of setup week is ready. When something changes, you can update us in the same phone or WhatsApp thread.

Booking

Just send the first setup day, the dismantling date and the number of people: call 0532 655 43 32 or write to us on WhatsApp in English. We will come back straight away with a suitable apartment split and the current price; the booking is confirmed in writing.

Common questions

If we arrive early in the morning for setup, can we get into the apartment?

Check-in is normally from 14:00. Early check-in depends on availability and must be asked about in advance; tell us your arrival time when you book.

What if dismantling finishes in the evening?

Checkout is at 11:00, so on dismantling day you either stay one more night or ask about a late checkout in advance. Late checkout depends on availability.
