Expo team apartment plan

How Many Apartments Does Your Expo Team Need for IFM?

  • Updated:
  • 5 min read

The way to work out how many apartments your expo team needs is to match the number of people to apartment capacity: a Two-bedroom apartment (2+1) takes 4–5 people, a One-bedroom apartment (1+1) takes 2–3 people and a Studio apartment (1+0) takes 1–2 people. A stand team of five, for example, can stay in a single Two-bedroom apartment (2+1), and a team of eight can stay in two Two-bedroom apartments (2+1).

This article is written for companies opening a stand at a fair at the Istanbul Expo Center (IFM) or sending a team as visitors. We are in Zeytinlik, Bakırköy; the expo area is 15–25 minutes away by car and 30–40 minutes by public transport.

Apartment types and who they suit on a team

Apartment typeCapacityLayoutWho it suits on a team
Two-bedroom apartment (2+1)4–5 peopleTwo bedrooms, living room, kitchenA team working the same stand
One-bedroom apartment (1+1)2–3 peopleSeparate bedroom, living room, kitchenA small team or a manager
Studio apartment (1+0)1–2 peopleBed and living area in one space, kitchen, private bathroomA visitor travelling alone or as a pair

All three apartment types have air conditioning and free Wi-Fi. The building has a lift and security cameras; for a team arriving with suitcases, catalogues and sample boxes, getting upstairs is easy.

Sample splits by team size

The table below shows the simplest split for each team size and the maximum number of people it takes.

TeamSample splitMaximum
1–2 people1 Studio apartment (1+0)2 people
3 people1 One-bedroom apartment (1+1)3 people
4 people1 Two-bedroom apartment (2+1)5 people
5 people1 Two-bedroom apartment (2+1)5 people
6 people1 Two-bedroom apartment (2+1) and 1 Studio apartment (1+0)7 people
7 people1 Two-bedroom apartment (2+1) and 1 One-bedroom apartment (1+1)8 people
8 people2 Two-bedroom apartments (2+1)10 people
10 people2 Two-bedroom apartments (2+1)10 people

Five people is the upper capacity of a Two-bedroom apartment (2+1). If a team of five wants a roomier layout, 1 One-bedroom apartment (1+1) plus 1 Studio apartment (1+0) (maximum 5 people) is also an option. In the same way, a team of ten can spread out further with two Two-bedroom apartments (2+1) plus one Studio apartment (1+0) (maximum 12 people in total).

This table is a starting point; we work out together in the conversation which combination is available on your dates.

Alternative splits for different schedules

  • If the sales team and the set-up team work different hours: for a team of six, 2 One-bedroom apartments (1+1) (maximum 6 people) keep the two groups apart; each group gets its own living room and kitchen.
  • If a manager is staying separately: put the team in a Two-bedroom apartment (2+1) and the manager in a Studio apartment (1+0).
  • If four people are coming as two pairs: 2 Studio apartments (1+0) (maximum 4 people) give each pair their own space.

Rules that make planning easier

  1. Name one person in charge. Let the name list, arrival times and changes all come from the same person.
  2. Write down who shares with whom from the start. Putting people who work the same hours in the same apartment reduces disturbance in the morning and at night.
  3. Separate different schedules. Where possible, put the technical crew, who get back late during set-up, in different apartments from the sales team, who leave early in the morning.
  4. Have ID ready. In Türkiye, every guest's identity details are reported by law at accommodation properties; at check-in each guest needs their passport, and Turkish citizens can use their national ID card.
  5. Tell us your arrival times. Check-in is from 14:00 and check-out is until 11:00. If someone is arriving late at night, let us know in advance.

What the name list should contain

DetailWhy it is needed
Full name as on the IDMatched against the passport or ID card at check-in
Arrival and departure datesMakes the number of nights clear per person
Apartment sharingWho stays in which apartment is clear from the start
Estimated arrival timeLate-night check-ins are planned in advance
Mobile phoneWe can reach you directly in case of a delay or a change

It is practical to send the list on WhatsApp after the booking is confirmed; if anything changes, you update it in the same conversation.

Evening work and shared space

When the expo day is over, most teams answer emails, note down the day's conversations and plan the next day. Every apartment has free Wi-Fi. The living room in the One-bedroom (1+1) and Two-bedroom (2+1) apartments is a comfortable place for the team to come together for a short review in the evening. The kitchen in every apartment also lets you make breakfast and a light dinner yourselves on longer stays.

Payment and corporate documents

Payment is made in cash, by bank transfer or by credit card on site; you do not need to share your card details online. If you need to pay in your company's name or need a document, ask when you book so it is clear from the start. Cancellation and change terms are sent to you in writing during booking. Last-minute changes are common in a team; having these terms with the person in charge makes things easier.

Think about transport as a team too

If you all leave together in the morning, the 8-minute walk to Marmaray Bakırköy station makes it easy for the group to meet on the same train. On days when materials are being carried, it can be more practical for one or two people to go by taxi. For route details see our Bakırköy to IFM transport article, and for set-up days our stand set-up and dismantling guide.

Common questions

How does a team of four share apartments?

The simplest solution is a single Two-bedroom apartment (2+1); with two bedrooms, a living room and a kitchen it takes 4–5 people. If the team prefers to stay as two pairs, 2 Studio apartments (1+0) are also an option; we work out the available split in the conversation.

How many apartments does a team of eight need?

Two Two-bedroom apartments (2+1), with a capacity of up to 10 people, comfortably take a team of eight. One Two-bedroom apartment (2+1) plus one One-bedroom apartment (1+1) also suits this team, with a maximum of 8 people in total.

Does everyone on the team need ID?

Yes. In Türkiye, every guest's identity details are reported by law at accommodation properties; each guest needs their passport at check-in, and Turkish citizens can use their national ID card.
